Overall Purpose of the Role
- Support FBA exhibition related administration, including:
- Organising the call for entries data and the exhibition inventory of works, the hanging and dispatch, judging and private views
- Lead the Exhibitions and Events Diary to include the scheduling of activities to support full delivery of an exhibition.
- Plan the implementation of public events and brief the requirements to the team
- Working closely across the FBA to ensure successful outcomes
Responsibilities
Planning
- Be the lead coordinator of all exhibition and gallery activities as stated in the organisation’s ‘master diary’
- Work with the Head of FBA Exhibitions, the Gallery Hire Sales Manager, the Arts Services Manager and the Building Operations Manager to schedule the year’s activities
- Schedule gallery maintenance with the Art Services Manager and the Building Operations Manager Update the overall calendar of activity in an FBA year
Exhibition Delivery
Management of an exhibition works of art – the Art Inventory
Call for Entries:
set up the call for entries on the digital platform
Respond to enquiries from artists Liaise with the marketing department Organise the selection days to include equipment and catering Communication with the artists – those selected, those rejected and member artists Import the works from the digital platform to the e-commerce platform and create the exhibition art inventory
Set Up
With the Art Services Manager arrange for the arrival and recording of the works through the Receiving Room – this will include communication with the exhibiting artists and regional couriers
With the Head of FBA Exhibitions and the art technician team ensure a successful hang of the exhibition. Coordinate the labelling of the works.
Oversee the judging of works Organise refreshments during the hang
Liaise with marketing and the visitor experience teams to ensure everything is in place for the opening and everyone is clearly briefed.
Private View
Organise the catering for the private views and Art prizes, producing the certificates or awards ready for the prize presentation and assist the president with this
Ensure that the logistics of the private view run smoothly
Exhibition Close
Liaise with the Arts Services Manager for a smooth take down and despatch of works of art.
Complete the art inventory with all works despatched or ready for collection or shipping
Organise collection days and the couriers for final collection
‘Close down’ the inventory list once all works have departed
FBA Initiatives
In line with the above, assist with additional activities to deliver FBA related exhibitions eg an online exhibition; a fundraising auction; an exhibition in the galleries
Public Events
- Schedule the agreed events for the public and the Hesketh Hubbard life drawing classes
- Brief the visitor experience team with the required set up, equipment and materials for the events Ensure speakers and participants are appropriately welcomed
Other
- Website – create interesting content for the website especially related to artist call for entries and exhibition information and the artists’ content pages
- Organise art society meetings – book the room, arrange catering etc
- Liaise with the Royal Parks and couriers regarding deliveries and collections
- Ensure all Health and Safety policies and Gallery regulations are complied with
- Contribute to internal meetings and develop positive working relationships with colleagues
Person Specification
Experience required:
- Planning and co-ordination of an activity
- Project management
- Data entry, capture and reporting
- Experience of using website content management systems to publish and edit website content
- Experience of uploading data
- Knowledge and use of digital channels
- CRM experience
Skills required
- Ability to organise
- Interpersonal skills
- Ability to work with people across the organisation and at all levels
- Organisation and administration skills, including broad knowledge of Microsoft Office and digital platforms.
- Desirable:
- Interest in and knowledge of the visual arts Experience of working in an arts context
What Can We Offer You?
- The salary for this post will be between £24-26,000. You will receive 23 days pro rata paid annual leave plus the three days between Christmas and New Year. 3% contribution to a personal pension scheme. Discounts at Cass Art and FBA artworks displayed in the gallery.
